1. Who we are

LoadOff is a UK-based business operations and automation service. We provide lead follow-up, inbox management, and workflow automation services to small and medium-sized businesses in the United Kingdom.

2. What information we collect

We may collect the following types of personal data:

• Name and contact details (email address, phone number, business name) provided via our contact form or email correspondence.
• Information about your business and operational requirements that you share with us during consultation or onboarding.
• Communication records, including emails and messages exchanged as part of our service delivery.
• If you request a Lead Response Audit: the business address you nominate, the enquiry you choose to send, and the timing of the reply (see Section 8).
• Limited technical data processed by our hosting provider to serve and secure the site, including IP address. We do not combine this with anything else or use it to identify you.
• If you allow it, the page you arrived on and the link that brought you here (see Section 7). This site sets no cookies.

3. How we use your information

We use your personal data to:

• Respond to enquiries and provide the services you have requested.
• Manage and deliver our retainer-based operations services on your behalf.
• Send service-related communications, including updates, weekly summaries, and reports agreed as part of your engagement.
• Improve our website and services.
• Comply with our legal and regulatory obligations.

We rely on the following lawful bases for processing: contract performance (where we are delivering services), legitimate interests (responding to enquiries, improving our services), and legal obligation where applicable.

4. How we store and protect your data

Your data is stored securely and accessed only by LoadOff personnel with a legitimate need to do so. We use industry-standard technical and organisational measures to protect your information against unauthorised access, loss, or disclosure.

We retain personal data only for as long as necessary to fulfil the purposes for which it was collected, or as required by law. Our own business records – contracts, invoices and client contact details – are kept for six years after an engagement ends, in line with standard UK record-keeping requirements. Personal data we process on a client's behalf, such as their customers' enquiries, belongs to that client: it is returned or deleted within 30 days of the engagement ending, under our data processing agreement with them.

Records created by the Lead Response Audit are deleted after 90 days, and sooner if you ask – see Section 8.

5. Sharing your information

We do not sell, rent, or trade your personal data to third parties.

We may share data with trusted third-party service providers who assist us in delivering our services (such as cloud storage or communication tools), but only under strict contractual terms and where those providers comply with applicable data protection law.

We may disclose information where required to do so by law, court order, or regulatory authority.

6. Your rights

Under UK GDPR and the Data Protection Act 2018, you have the right to:

• Access the personal data we hold about you.
• Request correction of inaccurate or incomplete data.
• Request erasure of your personal data, where applicable.
• Object to or restrict certain types of processing.
• Request portability of your data.
• Withdraw consent at any time, where processing is based on consent.

To exercise any of these rights, please contact us at hello@loadoff.uk. We will respond within 30 days. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

7. Cookies and browser storage

This site sets no cookies at all, and uses no analytics service, no advertising pixels and no third-party trackers. Nothing here follows you to other websites. We store two things in your own browser, and only two:

• Your answer to the consent banner (lo_consent, kept until you clear your browser). We store this without asking, because remembering that you said no is the only way to honour it – the alternative is asking again on every page.
• Where you came from (lo_attr: the page you landed on, the referring link, and any campaign tags in the URL). This is stored only if you allow it, is erased when you close the tab, and exists so we can tell which of our own marketing is worth doing. If you fill in a form, it is submitted with it so we can attribute the enquiry.

Neither is a cookie in the technical sense – they use your browser's local and session storage – but the rules on storing information on your device apply just the same, which is why we ask before using the second one.

Change or withdraw your choice at any time. Withdrawing it also deletes anything already stored. Declining changes nothing about how this site works.

8. The Lead Response Audit

If you ask us to run a Lead Response Audit, we send one enquiry to a business email address you nominate and measure how long the reply takes. This section explains exactly what that involves.

Nothing happens until you confirm. When you submit the form we email the address you nominated and stop there. No test enquiry is sent, and no further email of any kind, unless someone clicks the confirmation link in that email. Because that link only arrives in the nominated inbox, the audit can only ever be run by someone with access to it – it cannot be pointed at a third party.

What we store: the business name, contact name, website and email address you give us; the subject and wording of the enquiry you choose to send; the times the enquiry was sent and the first reply arrived; the address that replied; and the opening line of that reply, kept as evidence that the measurement is real. We do not store the rest of the reply.

Who it comes from: the test enquiry is sent by a real person from max@loadoff.uk. We do not impersonate a customer or use an invented identity, and you approve the exact wording before it is sent.

Lawful basis and retention: we process this on the basis of your consent. The record is deleted after 90 days. A request that is never confirmed is deleted after 14 days, because declining to click is not consent. Every email we send in connection with an audit contains a link that stops it and removes the record immediately.

When we send you the results, we also create a record of you as a business contact so we can follow up on the outcome. That record is kept under this policy rather than the 90-day audit rule, and you can ask us to delete it at any time.

9. Marketing emails

We send marketing email only to people who have asked for it, or to business contacts where UK law permits it. There are two tick-boxes on this site that ask: one on the audit form and one on each workflow starter page. Both are optional and unticked by default. Your results, or your template, are sent whether or not you tick it, and refusing changes nothing about the service you receive.

Every marketing email carries an unsubscribe link that works in one click, with no login and no form to fill in. Clicking it takes you off immediately and offers you a way back if you did not mean to. You can also ask us to stop at any time by emailing hello@loadoff.uk.

We keep a record of the exact wording you agreed to and when, rather than only the fact that you agreed, because the wording on this site will change and the record of what you said yes to should not change with it. If you unsubscribe we keep that record too, along with the date, so we can show why we stopped writing to you.

Unsubscribing covers marketing only. Anything you actively asked for, such as an audit report or a workflow template you requested, still reaches you.

10. Third-party links

Our website may contain links to third-party websites. We are not responsible for the privacy practices or content of those sites. We encourage you to review the privacy policies of any external sites you visit.

11. Changes to this policy

We may update this privacy policy from time to time. Any changes will be published on this page with an updated date. We encourage you to review this policy periodically.
