Workflow Starters

Automating invoices, receipts and document filing

Document handling is the second-largest category of automation people actually build, and the most-copied single workflow in it does something unglamorous: it takes invoices out of an inbox, files them in a folder, and logs them in a spreadsheet.

These are worth building before anything cleverer, because they are the ones that keep working. Reading a document and putting it where it belongs has no opinion in it.

4 starters in paperwork that files itself

01

Invoices out of the inbox, into a folder and a sheet

An afternoon
Starts when
An email arriving with an invoice attached
It does
Saves the attachment to the right folder, reads the supplier, date and total, and adds a row.
Connects
Gmail or Outlook, Google Drive, Google Sheets, n8n
Why it pays
It is the most-copied document workflow in n8n’s library, because every business does this by hand and every business is behind on it.
Its limit
It handles the invoices that arrive as attachments. Anything sent as a link to a portal still needs fetching by hand.

02

Reading a photo or PDF into structured data

An afternoon
Starts when
A photo or PDF landing in a folder or sent to an address
It does
Runs OCR, pulls out the fields you name, and writes them where you want them.
Connects
An OCR model such as Mistral or Gemini, Google Drive, Google Sheets, n8n
Why it pays
This is the piece the other three are built on, and it has become genuinely reliable in the last couple of years. A photographed receipt from a van is now readable.
Its limit
Accuracy is high, not perfect, and it fails worst on the crumpled and the handwritten. Anything that becomes an accounting entry wants a human glance.

03

Sorting bills from receipts automatically

An afternoon
Starts when
A document arriving in the finance inbox
It does
Classifies it as an invoice to pay, a receipt to file, or something else, and routes each accordingly.
Connects
Gmail, OpenAI, Google Drive, n8n
Why it pays
The sorting is the part that never gets done, and an unsorted pile is why the quarter-end session takes a whole evening.
Its limit
It classifies confidently even when it is wrong, so the "something else" pile needs looking at rather than trusting.

04

The monthly summary that assembles itself

An afternoon
Starts when
The first working day of the month
It does
Totals the month from your sheet and emails you a plain summary with what is missing flagged.
Connects
Google Sheets, OpenAI, Gmail or Outlook, n8n
Why it pays
The list of what is missing is the useful half. Finding a gap on the third of the month is easy; finding it at the deadline is not.
Its limit
It can only see what was captured. A receipt nobody photographed is invisible to it.

What these deliberately do not do

These file and extract. None of them approve a payment, categorise anything for tax, or decide that a bill is wrong. Tidier inputs make your accountant faster and cheaper; replacing their judgement with a model’s is how errors reach a return.

The same line runs through the whole library, and the hub explains where we draw it. Anything a customer reads as a reply from you is work rather than tooling, which is why we run it as a service instead of shipping it as a template.

Questions about automating paperwork that files itself

Can AI reliably read invoices and receipts?

For printed documents, yes, and it has improved sharply. Current OCR models handle a photographed invoice well enough to populate a spreadsheet without retyping. Where it still struggles is handwriting, creased thermal receipts and unusual layouts, so the sensible pattern is automatic extraction with a person glancing at anything that becomes an accounting entry.

What is the easiest document automation to build first?

Filing invoices from your inbox to a folder and a spreadsheet. The trigger is unambiguous, the tools are ones you already pay for, and there is no judgement anywhere in it. It is also the most-copied document workflow in n8n’s public library, which means the patterns are well established and easy to follow.

Does automating receipts satisfy HMRC record keeping?

Digital copies of receipts are acceptable to HMRC and Making Tax Digital pushes in that direction. What matters is that records are complete and legible, not how they were captured. An automation helps with completeness as long as nobody assumes it caught everything it never saw.
